Terms of Service

Gallorie is a client-gallery and photo-delivery platform operated by Codemondo Digital, a company incorporated in Malaysia (“Gallorie”, “we”, “us”). These terms are the agreement between us and the studio or photographer who holds a Gallorie account (“you”).

They cover what we do with your work, how long we keep it, and what each of us is responsible for. We have tried to write them the way we would explain them to you in person. Where something matters — particularly how long we hold your delivery files — we have said so plainly rather than burying it.

Our privacy policy covers personal data and forms part of this agreement.

• Gallery — a collection of photos you deliver to one client through Gallorie.
• Your client — the person you deliver a gallery to. They are your client, not ours.
• Delivery originals — the full-size files you upload to us so your client can download them. These are a copy of your exported work.
• Preview images — the smaller versions we generate so galleries and your dashboard load quickly.

You need an account to use Gallorie, and you are responsible for what happens under it. Keep your sign-in details to yourself — if you think someone else has access, tell us.

If you invite other people into your studio, you are responsible for what they do here. The person who owns the studio account is the one who accepts these terms on the studio’s behalf.

Gallorie is a delivery tool, not an archive or a backup. This is the most important thing on this page, so we would rather say it too early than too late.

We hold a copy of your work so your client can see it and download it. We do not hold it as your only copy, and you should not rely on us as one. Your originals live in your editor, on your drives, and in whatever backup you keep — and that is where they should stay. Section 7 explains how long our copy lasts.

You own your photographs. Nothing here changes that, and we do not claim any ownership of your work.

So that we can actually run the service, you give us permission to store your files, make the preview sizes we need, and show and deliver them to the people you share a gallery with. That permission exists only to operate Gallorie for you, and it ends when your content is removed.

We do not sell your work, use it to advertise Gallorie without asking you first, or use it to train any model.

You are responsible for having the rights to what you upload, and for any consent your own clients need to give — including where photographs of children appear in a gallery.

Every gallery has a lifespan, set when you publish it. When it ends, the gallery stops being reachable by your client and shows them a note asking them to get in touch with you.

• Free — a gallery stays live for 14 days from the day you publish it.
• Studio— you choose 30 days, 90 days, or a year. A year is what we set if you don’t choose, and a year is also the longest a Studio gallery can be set to.
• Studio Pro — the same choices, plus no expiry at all. That is what Studio Pro is for.

The free plan also has a limit on how many galleries you publish:one per calendar month, counted on Malaysian time. Publishing is what uses the month’s slot — drafts and uploads are free, so you can prepare as much work as you like — and archiving or deleting a gallery afterwards does not give the slot back. A new slot arrives when the month turns over. Paid plans have no such limit.

Once a gallery is published, its expiry date does not move on its own. We never recalculate it — not when you change plan, not when you upgrade, and not when a payment fails. If you change plan, galleries you have already delivered keep the expiry date they were published with. Only new galleries follow the new plan’s rules.

On a paid plan you can extend a gallery or publish it again, up to the longest lifespan your plan allows. On the free plan you cannot, and that is one of the differences you are paying for.

While your subscription is active, we do not clear the delivery files of any gallery — not one that has expired, not one you archived, not one you deleted. Keeping your delivered work where you can reach it, for as long as you are paying us, is part of what a paid plan is.

The periods below are the free plan’s. If you cancel and move back to the free plan, they apply again from that point — and we will still warn you by email before anything is cleared.

• A gallery that expired — 30 days after it expires.
• A gallery you archive or delete — 180 days after you archive or delete it.
• An individual photo you delete — 30 days after you delete it. This one runs on every plan, including while you are subscribed.

Before we clear an expired, archived, or deleted gallery, we will always warn you by email — to the address on the studio account, naming the galleries and the date. If we have not warned you, we will not clear that gallery’s files.

The one thing we do not warn you about is a photo you deleted yourself. You asked for that, and pestering you about a photo you meant to remove would be noise — but it is still a real clearance, so it is listed above.

Two things stop the clock entirely. If you extend a gallery or publish it again, its files are no longer scheduled to be cleared, and a fresh period only starts if it expires again on a free plan. And if a gallery is parked — because a subscription lapsed (section 12), or because a Studio gallery reached its year (section 8) — none of these periods run at all, for as long as it stays parked. We do not delete your work because a card expired, and we do not delete it because a term ran out.

What gets cleared is the delivery copy — the same frames that are sitting in your editor. Section 9 lists what stays.

On the Studio plan a gallery is delivered for a year. Twelve months after you publish it, we parkit: the link your client holds goes quiet and shows them the same “get in touch with your photographer” note as an expired gallery.

Parking is not deleting.Nothing is cleared and nothing is lost — the photos, your client’s selections, their comments, the proofing history and your settings all stay exactly where they are, and the gallery is still in your dashboard.

• We email you 30 days before a gallery is due to be parked, naming the galleries and the date. As with clearing files: if we have not warned you, we will not park it.
• You can bring a parked gallery straight back by extending it from your dashboard. It goes live again immediately, for up to another year.
• On Studio Pro, galleries are never parked, and upgrading releases every parked gallery at once. That is what “your archive, forever” means.
• On the free plan this does not apply — a free gallery is fenced by its 14-day lifespan instead.

If you move from Studio Pro down to Studio, we do not park anything on the way down. Galleries that were never on a clock get a full year from the day the plan changes, so a change of plan is never a change to what your client can see today.

Clearing delivery files does not empty out your account. When a gallery’s originals are cleared, all of this stays exactly where it was:

• The gallery itself, its title, its date, and the client it belongs to.
• Your client’s selections, their album picks, their comments, and the full proofing history.
• Your theme and gallery settings.
• The preview images — so your galleries and your dashboard still look like your work years later, not like a page of empty boxes.

What you lose is the ability to deliver that gallery again from our copy. If you need to re-deliver it, you can upload the files again.

A parked gallery (section 8, or section 12) loses nothing at all — not even the delivery files. It is only quiet, and it comes back.

The relationship with your client belongs to you. We are the tool you deliver through, and we stay out of the way — a gallery carries your name and your branding, not ours.

That also means the responsibility is yours: what you agree with your client, what you charge them, and what you promise them is between you and them. When you upload your client’s personal details, you are responsible for having the right to, and we handle that data on your behalf as described in our privacy policy.

Gallorie has a free plan, and it does not expire. There is no trial that runs out, and we do not delete your account for not paying us. The free plan is a real plan.

Paid plans lift the limits described above. If and when you choose one:

• You can pay monthly or yearly. Yearly is charged once for the year and works out cheaper than paying monthly.
• Subscriptions renew automatically at the end of each period, at the price then in force for your plan, until you cancel. We will tell you before any price change affects you.
• Prices are in Malaysian Ringgit, and we will show you any tax that applies before you pay.
• Payments are handled by our payment provider. We do not receive or store your full card details.

If a payment fails, we will tell you and give you a period to fix it before anything changes on your account. We do not take a gallery away from your client because a card expired.

You can cancel at any time. Your plan runs until the end of the period you have already paid for, and then your account moves to the free plan. We do not delete your account when you cancel.

We do not give refunds for a period you have already paid for, and that includes the unused part of a yearly plan. A yearly plan is charged once for the year; if you cancel partway through, you keep everything the plan gives you until the year you paid for runs out, and it is not refunded to your card. We think that is fair because the free plan is real and always available, so nobody has to pay to keep their work — paying is for the extra a paid plan gives you, and you keep that for the whole period.

If you switch plans partway through a period, the change takes effect right away. Moving to a higher plan, we charge only the difference for the time left in the period. Moving to a lower plan, the unused balance is kept as credit on your account and put towards your next invoices — we do not pay it back to your card. Either way you are never charged twice for the same period.

Moving to the free plan never deletes your work. If you are over what the free plan allows, we make the excess galleries read-only rather than removing them: your client sees the same “get in touch with your photographer” note as an expired gallery, and everything — the photos, the selections, the history — is still there. Subscribing again restores them immediately.

As explained in section 6, galleries you have already published keep the expiry date they were published with. Changing plan does not shorten them. Moving from Studio Pro down to Studio does not park anything on the way down either — those galleries get a full year from the day the plan changes (section 8).

None of this affects any refund or cancellation right you have under Malaysian law that cannot be excluded — see section 16.

Please do not use Gallorie to:

• Upload anything unlawful, or anything you do not have the rights to.
• Impersonate another studio or person, or pass someone else’s work off as your own.
• Break, overload, or probe the service, or try to reach data that is not yours.
• Resell Gallorie itself, or use it as general-purpose file storage or a CDN.

Our plans do not put a number on your photos or your gigabytes, and that is deliberate. It relies on people using the service for what it is for. We keep some quiet limits in place to catch abuse; they are set far above what real photography work looks like, and if you ever come near one we will talk to you rather than cut you off.

We may suspend or close an account that breaks section 13, or where we are required to by law. Except where something is seriously or unlawfully wrong, we will contact you first and give you a chance to put it right.

You can close your account whenever you like. Tell us and we will help you get your work out first.

We work hard to keep Gallorie fast and available, because your client is often looking at it the day you deliver. But no online service is up every second, and we do not promise uninterrupted or error-free access. We may change or improve features over time; where a change materially affects how you work, we will give you notice.

Except as set out in these terms, Gallorie is provided as it is. In particular, and as explained in section 4, we are not your backup: keep your own copies.

Where we are liable to you for something that goes wrong, our total liability is limited to the amount you paid us in the twelve months before it happened. We are not liable for lost profits or lost business.

That limit does not apply if we clear your delivery files without giving you the warning sections 7 and 8 promise, or to anything we do with gross negligence or on purpose. We say so deliberately: on the free plan the limit above comes to nothing, and a promise we could break for free is not a promise. If we fail the one commitment this whole page is built around, the fact that you were not paying us is not a defence we intend to rely on.

Nothing in these terms removes, excludes, or limits any right or remedy you have under Malaysian law that cannot lawfully be removed, excluded, or limited — including under the Consumer Protection Act 1999 where it applies to you. If any part of this section is not enforceable, the rest of it still stands.

We may update these terms. Every version we publish has a date, and older versions stay available so you can always see what you agreed to.

If a change is material — how long we keep your files, what a plan costs, what happens to your galleries — we will tell you and ask you to accept the new version before you carry on. Small corrections do not need that.

We do not apply a changed term backwards to work you have already delivered. Galleries published under an earlier version keep the treatment they were published with.

These terms are governed by Malaysian law, and the courts of Malaysia have jurisdiction over any dispute arising from them.

If any part of these terms turns out to be unenforceable, the rest continues to apply. If we do not enforce something straight away, we have not given up the right to enforce it later. You may not transfer this agreement to someone else without asking us.

Together with our privacy policy, these terms are the whole agreement between us about Gallorie.
